Portable devices must be encrypted

RU POLICY: laptops must be encrypted!!

This means that a PC does not need to be encrypted. For more details about encryption see the Encryption page.

When a new laptop is ordered it will be delivered at C&CZ, and they will activate the encryption. If you ordered a windows laptop with Windows Home, they also reinstall the laptop with Windows Enterprise with several software packages with a university license. They will contact you to let you specify which software packages you want.

For new tablets/iPads the encryption is enabled by the ISC where the laptop is ordered.

Ordering a Tablet/iPad

Tablets and iPads need to be ordered at the ICT Service Centre (ISC) by an "aanvraagbevoegde", which is for ICIS our local system support C&CZ

There is still a free choice in which device you want to order. The user of the device needs to sign a rental agreement(RU-Bruikleenovereenkomst), which is stored in your personnel file at Human Resource Management. This is done at the ICT service desk. At some point the rental agreement ends and the device has to be returned to the ISC, which can also be done at the ICT service desk. When the device is returned the employee gets a Disclaimer (Vrijwaringsbewijs).

The same budget rules apply as for ordering a Laptop or a PC. Tablets like all ict hardware need to be ordered at our standard PC supplier (via ISC). You can always request an offer there to check you stay within your budget. For details see below in "Ordering a Laptop/PC" section.

Ordering a Laptop/PC

The university has a contract with Dustin, so we have to order all laptop/PC equipment there.

There is a budget within the project for equipment of an employee. The amount depends on the project. In terms of equipment selection, one is quite free to choose what they want: laptop, pc, macbook etc… However, the final equipment choice must be approved by the supervisor. It could be that there are extreme hardware requirements for the project, and then a laptop does not comply. But this fact does not often occur and in most cases laptops are sufficient today. For doing an occasionally big calculation then she/he can use the big machine 'dagobert' with many cores and memory.

There are also employees when they start already have a good laptop, and they postpone ordering hardware until a later time. E.g. a PhD student can wait only a year has passed, the advantage is that at the end of their PhD contract they still have a younger laptop, because four years is quite long for a laptop.

So I suggest that the employee comes with a proposal for equipment. I ask for an official order at our standard supplier, and if this is not much more expensive than the supplier where he found the equipment, we order it at https://dustin.com/, otherwise at the original supplier. Unlike the other supplier https://dustin.com/ has the advantage that they also do repairs on many laptop brands, so in case of problems we don't have to deal with another party.

Ordering procedure

You are free to order any equipment you want, as long the budget holder approves it!

  1. choose the equipment you want at https://dustin.com/.
    If you find your machine on another's dealer website, but you cannot find it on their website just send an email to educatie@dustin.com to ask them for an offer.
  2. then ask approval for the equipment at the budget holder
  3. then ask one of the Support_Staff to order it for you

Delivery time

If delivery of an order takes longer than expected. You can inform information about the delivery by sending an email to:

C&CZ enables encryption for laptops

When a laptop is ordered it has first to be processed by C&CZ so that they can enable encryption on the device. They can also upgrade windows, and install some extra software packages.

They register the following information:

  • specification of the laptop (brand,model, serialnumber, operating system)
  • the end user of the laptop
  • the person who ordered the laptop
  • the person who enabled the encryption on the laptop. Sometimes this can be also the end user if agreed upon.

C&CZ allows you to look at this registered information for your department.
